The Student Grant covers:
- Hotel Costs for students granted staying from 15 to 20.05.2022 (5 nights). NO extra nights will be covered. Students with additional nights have to pay them directly to the Hotel Reception desk during check out;
- Conference Fee (including lunches and dinners at the Hotel Hermitage);
- Travel Costs up to 500 EUR/600 USD.
For the travel reimbursement, students are requested to buy travel tickets by themselves in advance and provide a copy of the invoice addressed to them. It is mandatory to provide the invoice to get the reimbursement.
If the Institute/University will cover the students travel costs, students can apply for the travel reimbursement only if they can provide us with an invoice and with a “Claim for Travel reimbursement Declaration” as an official confirmation about student’s reimbursement to the home institute. The Reimbursement is possible only to bank accounts addressed to private persons; we cannot reimburse money to Institutes/University!
Procedure: for students travel reimbursement, the student in person must come to the Conference secretariat office. Students will fill out a form sheet with some information. The reimbursement will be processed by DESY travel department and the amount will be transferred to student’s bank account in due time (around 3-5 weeks for the internal procedure).
Students need to provide us:
- Original travel tickets (Bus, Ferry, Flight, etc.) and the invoice for purchase (for flights - with the student’s name on it);
- Taxi costs are covered only if the student’s departure/arrival time is before 6:00 am or after 23:00 pm;
- Visa receipts (if needed).
For students from countries outside the Euro Monetary Union, we need a copy of ID with home address (it is a mandatory request by the bank).
If an Institute has paid your travel tickets, please provide in advance the above mentioned “Claim for Travel reimbursement Declaration”. Nevertheless, we also need an invoice with student’s name on it.

Master and/or PHD Students in physicists (in the field of photon science and related areas).
How to apply
To apply for a Student Grant within February 11, 2022:
1) register on this site LEAPS2022 - Application Student Grants;
2) send an email to leaps2022@lists.lnf.infn.it including:
- a short informal application letter addressed to the Chairs of the Organizing Committee;
- a CV;
- a confirmation letter of your status, signed by your tutor.
The final decision about grants will be sent by e-mail directly to the applicants by February 2022. The evaluation committee will decide also if granted students will present a poster or/and an oral contribution during the LEAPS QT Conference.
For those students who will be granted, it will be mandatory to submit an abstract for the poster and/or oral contribution and register to the conference registration form according the indicated submission deadline.
A selection of the best three posters will take place during the Conference and an award ceremony will follow.
