Below you will find important information about the registration process, fees, included services, and policies for participants and accompanying persons.
Code of conduct
Participants and Accompanying Persons are requested to respect people and to endorse the Code of Conduct.
Workshop Registration Fees
Early Bird registration → up to 15 October 2025
350 EUR (regular)
200 EUR (students)
Late registration → up to 19 November 2025
450 EUR (regular)
300 EUR (students)
The student fee is reserved exclusively for undergraduate and graduate students, including those enrolled in Bachelor’s, Master’s, or PhD programmes. By selecting the student fee, the participant declares being currently enrolled in a recognised academic programme and may be asked to provide valid proof of student status upon request.
Registration Fee includes
- Workshop Welcome Kit
- access to the full Scientific Programme
- publication on JINST of Workshop contributions (invited, plenary and poster presentations)
- Coffee Breaks on all Workshop days (Wednesday, Thursday, and Friday)
- Lunches on all Workshop days (Wednesday, Thursday, and Friday)
- Welcome Reception (Wednesday evening)
- participation in the Social Dinner (Thursday evening)
- guided Excursion Tour of the Bologna City Centre (Saturday morning)
- visit of the INFN Bologna Laboratories (choice between Tuesday or Friday late afternoon slots)
Accompanying Person
The fee for accompanying persons is 120 EUR.
Kindly note that accompanying persons must be registered separately and a separate payment is required. A link to the registration form for accompanying persons will be provided during the payment checkout process. The fee includes the participation in the social events included in the Workshop programme

Early Bird Registration
The Early Bird Registration Fee only applies to registrations completed before the deadline of 15 October 2025, which means that the conference fee has to be paid before the deadline to benefit from the Early Bird Registration Fee.
Payment processing
Please note that participants are required to pay the registration fee as part of the registration process. Once the payment is submitted, validation may take some time. You will receive a confirmation email once your payment has been verified and your registration is fully processed. We appreciate your patience and understanding.
Cancellations
All refund requests must be submitted in writing by mail to the Conference Secretary as soon as possible. The Conference Committee reserves the right to refuse reimbursement of part or all of the fee in the case of late cancellation. However, each cancellation will be considered on an individual basis. Please note that a cancellation processing fee may be applied to cover administrative costs, including charges imposed by the credit card system.
