Privacy notice
The following informations on data processing are illustrated complying to EU Regulation 2016/679 (GDPR, art. 13 and 14). The purpose is to notify the participants to the IWM-EC 2026 on how personal data are collected and treated by INFN.
Data Protection Officier
Data Protection Officier (DPO) has been appointed by INFN with the board of directors resolution n. 14734 on April 27th, 2018. DPO may be contacted at: dpo@infn.it
Purpose of Data Processing
Personal data collected during registration and participation in the conference will be processed for the following purposes:
- Conference registration and administration
- Communication regarding the event (program updates, logistics, etc.)
- Abstract submission and review
- Issuance of certificates of participation
- Compliance with legal and administrative obligations
Legal Basis
Data processing is carried out based on:
- The performance of a contract (conference participation)
- Legal obligations
- Legitimate interests related to the organization of the event
Data Collected
The personal data collected may include:
- Name, affiliation, and contact details
- Billing information
- Submitted abstracts and related materials
- Participation details (e.g., sessions, presentations)
- Dietary needs and allergies (i.e. for the social dinner)
Data Retention
Personal data will be retained only for as long as necessary to fulfill the purposes outlined above and to comply with legal obligations.
Data Sharing
Personal data may be shared with:
- Conference organizing and scientific committees
- Service providers (e.g., registration platforms, payment processors)
- Institutions or authorities when required by law
Data will not be transferred outside the European Economic Area unless appropriate safeguards are in place.
Participants’ Rights
Under the General Data Protection Regulation (GDPR), participants have the right to:
- Access their personal data
- Request correction or deletion
- Restrict or object to processing
- Request data portability
- Withdraw consent at any time (where applicable)

Photography and Media
Photos and videos may be taken during the conference for documentation and promotional purposes. Participants who do not wish to appear in such materials are invited to inform the organizers in advance.
