By registering, you certify that you have read the information below about accommodation and fee, and that you agree with the INFN Code of Conduct, Data Privacy policy, and INFN Statement on the current international situation, that are linked on the NOW 2022 Indico page.
Participants with accepted registration will receive further information about room reservation and fee payment through a dedicated portal provided by a Meetings and Event Agency.
Participants not arriving with their own car will later receive information also about transportation plans from/to the Brindisi airport or Brindisi train station, from the same Agency. Transportation will not be provided by other airports or train stations.
ACCOMMODATION
The NOW 2022 Workshop will be held during the week 4-11 September at the "Ostuni Rosa Marina Resort". The venue is located on the seaside of Ostuni (province of Brindisi in Apulia, Italy) at walking distance (~300 m) from the private Resort beach.
Booking of rooms in the Resort (check-in/check-out dates, plus accompanying persons if any) will be taken care by a dedicated Meetings and Events Agency. Please notice that, at least two months before the start of the Workshop, the Agency will ask your credit card information for booking confirmation via their dedicated portal. See below for the cancellation policy. Further detailed information will be provided in June. Please do not contact the Resort, since only the Agency will be authorized to book rooms for NOW 2022 participants.
We strongly recommend participation for the whole 1-week Workshop period, i.e., arrival on Sept. 4 (Sunday) and departure on Sept. 11 (Sunday). Rooms will be available to NOW 2022 participants from 5.00 pm (Sept. 4) to 10.00 am (Sept. 11). Shorter stays are subject to higher room rates, as detailed below.
ROOM CATEGORIES: All rooms reserved for the NOW 2022 Workshop belong to the "Comfort Room" category. A Comfort room can typically accommodate 2 adults (double occupancy) or 1 adult (single use), plus 1 or 2 kids upon request. Adults may ask for a double-bed (default) or for two separate beds. Larger families can be accommodated in two adjacent and communicating rooms. All rooms are located in the same area of the Resort and are in close communications with the Reception and with all the Resort facilities within walking distance. Special assistance to people with handicaps can be provided upon request, including dedicated accommodation solutions.
FULL BOARD ACCOMMODATION RATES FOR 1-2 ADULTS
These rates include: Full Board (as well as beverages at meals) and VAT
These rates do not include: Ostuni City Tax (to be known in Summer; usually: 2 euro/person/day, waived after 5th night).
Rates for a stay of 7 nights (whole Workshop week):
Comfort Room for double occupancy: 110 Euro/night/person
Comfort Room for single use: 148 Euro/night/person
Rates for a stay of 6 nights:
Comfort Room for for double occupancy: 125 Euro/night/person
Comfort Room for single use: 160 Euro/night/person
Rates for a stay of 4 or 5 nights:
Comfort Room for for double occupancy: 133 Euro/night/person
Comfort Room for single use: 170 Euro/night/person
Rates for a stay of 3 nights (minimum allowed stay):
Comfort Room for for double occupancy: 148 Euro/night/person
Comfort Room for single use: 180 Euro/night/person
Stays shorter than 3 nights are not considered. If requested, they will be charged for a total amount of 3 nights.
FAMILY PLANS FOR ADULT(S)+CHILD(REN) (Full board as above)
In this plan:
"Full rate" is equal to the "Comfort Room rate for double occupancy" indicated above for the corresponding length of stay.
"Reduction" for child(ren) applies to the "Full rate" in the indicated percentage. In some cases a forfait +35 Euro is indicated.
1 Adult + 1 child (3-11 years): 1 Full rate + 30% Reduction for the child
1 Adult + 2 children (3-11 years): 1 Full rate + 30% Reduction for 1st child + 35 Euro/night for 2nd child
2 Adults + 1 child (3-11 years): 2 Full rates + 35 Euro/night for the child
2 Adults + 2 children (3-11 years): 2 Full rates + 50% Reduction for each child
2 Adults + 2 children (12-15 years): 2 Full rates + 30% Reduction for each child
Infant (0-2 years) in parents' bed: free of charge
Infant (0-2 years) in baby crib: 10 Euro/night
All the above rates include:
Free use of the swimming pools in the Resort
Free access to the Resort private beach and facilities (except for the first 4 reserved rows of beach umbrellas/chairs/beds)
Free use of the sport facilities (tennis, mini-soccer, mini-basket and beach-volley fields) and of the fitness room
Free car-parking area at ~150 m from the Reception [Note: If you want to park in the guarded lot facing the Reception, there is a fee of 7 Euro/day.]
All other Resort services not mentioned above, such as bars and beauty center, are at your own expenses.
PETS: Not allowed in the Resort
Room booking and cancellation policy:
Room bookings will be made exclusively through a dedicated Meetings and Events Agency. In due time, you will be invited to provide your detailed booking info on the Agency portal. The booking will need to be confirmed by credit card at least two months before the Workshop. Your stay will be paid upon arrival (unless it is canceled).
In case of cancellation, your credit card will be charged as follows:
No charge for cancellations communicated within August 13.
25% of your stay for cancellations from August 14 to August 20;
50% of your stay for cancellations from August 21 to August 27;
75% of your stay for cancellations from August 28 to September 2;
100% of your stay for cancellations on September 3 or later.
CONFERENCE FEE
The Conference Fee will be 450 Euro for each participant, including speakers
(taxes included). There is no fee for accompanying persons.
The fee must be paid in advance (at least two months before the workshop) through a portal that will be made available by the same Meetings and Event Agency responsible for room reservations. All registered participants will receive detailed information on fee payment in June. In particular, participants supported by Italian funds will also receive information in compliance with Italian taxes.

Fee reimbursement in case of cancellations:
100% of your fee for cancellations communicated within August 13;
75% of your fee for cancellations from August 14 to August 20;
50% of your fee for cancellations from August 21 to August 27;
25% of your fee for cancellations from August 28 to September 2.
No reimbursement for cancellations on September 3 or later.
